POSITION PURPOSE
Reservation agent's purpose is to respond quickly and accurately to request for future reservations while selling all of the hotel services, maximizing occupancy and satisfying guest needs.
FUNCTIONAL RESPONSIBILITIES
Monitors and responds appropriately to guest, travel agents and contacts by telephone, to sell the overnight accommodation and hotel facilities
Maximizes revenue and occupancy to reach budgeted goals
Follows standards, policies and procedures to ensure 4-Star, 4-Diamond Service
Communicates to supervisor the necessary information for needs of VIP, groups and any other special needs
Books blocks of rooms for social functions i.e. weddings (Hotel and DCC)
Handles daily correspondence, confirmations, information and wedding letters
Researches travel agent commissions
Processes electronic reservations, communications through e-mail, Preferred system, fax and internet
Updates availability in other systems (i.e. Trust II, Historic Hotels)
Makes sure files are kept up-to-date and rotated monthly
Contacts guests regarding "no shows" and place charge on guest's credit card
REQUIREMENTS
KNOW-HOW/EXPERIENCE
Qualified candidates will have:
High school diploma or its equivalent
Hotel experience in Reservations or Front Desk
Strong English oral and written communication skills
Pleasant phone voice
Computer and keyboarding skills
Strong organizational skills
Ability to handle guests in a patient way
Strong interpersonal skills with a "guest first" mentality
Attention to detail
PROBLEM SOLVING Qualified candidates must be able to:
Work courteously with fellow employees
Work in teams with individuals of diverse backgrounds
Learn Hotel duPont procedures and policies to ensure guest satisfaction, maintain standards, maximizing revenue and occupancy
