We are currently seeking an Assistant Property Manager who will assist the Senior Property Manager in the delivery of services to operate and maintain two properties located in midtown Manhattan and to develop an understanding of building operations and sound working relationships with key representatives of the client and all key suppliers/service providers to the site.

Key responsibilities will include:

GENERAL
Assist in providing day-to-day operations management of the property while emphasizing positive response to concerns of tenants and client.
Understand the operational and technical requirements of the site.
Provide backup support for the Senior Property Manager in times of absence.

CLIENT MANAGEMENT
Interact on a regular basis with appropriate managers and contacts to discuss service delivery.
Liaise closely with the client on-site representatives to address problems and/or enhance working environment performance.
Ensure all requests are dispatched/routed to specified service provider within set client guidelines.
Follow up and complete all work orders as per established guidelines. Close out assigned Work Orders in system and follow up on overdue Work Orders assigned to others.
Assist in managing properties to KPI performance targets throughout the year:
Uninterrupted site operations
Client Satisfaction
Continuously improving service
Financial targets
Support client satisfaction process by ensuring clients are informed about and respond to surveys in a timely manner. Obtain at least 4.5 out of 5 on formal surveys. Receive positive verbal and/or written feedback from clients and client team members.

DAILY OPERATIONS MANAGEMENT
Ensure that the site is well maintained and reflects a quality building image.
Ensure that building tours are completed daily.
Ensure that detailed floor inspections are conducted daily with all floors completed on a monthly basis.
Complete maintenance and repair work involving understanding the required scope, obtaining quotations from vendors, scheduling and coordinating work, and reviewing after completion.
Work collaboratively with team colleagues (transactions, moves, projects, occupancy planning).
Provide support and coordinate with other building service providers (e.g. Security) for projects and moves.
Assist to ensure smooth running of meetings and/or special events at the site.
Assist with Business Unit relocations and 'ad hoc' projects.
Ensure that the Work Order system is maintained for rectification of any outstanding item/service and ensure that these are addressed in a timely manner.
Assist with critical issues and participate as a key team member in responses to emergency situations.
Provide assistance in general administrative activities and any other duties as assigned by the Senior Property Manager.
Support and lead the implementation and execution of programs designed to ensure client satisfaction.
Ensure all working environments meet all requisite OSHA Standards.

CONTRACT MANAGEMENT
Ensure that current contracts are managed and maintained to provide necessary supplies and services per defined scopes of work and costs.
Perform spot-checks and inspections to ensure that suppliers/service providers are meeting contractual obligations to the client.

FINANCIAL MANAGEMENT
Process invoices through various accounts payable procedures.
Assist the Senior Property Manager with meeting site financial budgets/targets.
REQUIREMENTS
If you're a professional team player with the ability to maintain confidentiality and you possess the following key qualifications, then we'd like to hear from you!

Minimum of three (3) years industry experience in facilities management, preferably in a corporate, consultant, or a third-party service provider environment.
Possess technical experience and knowledge of building operations and maintenance, a background with successfully administering various service providers.
Strong interpersonal skills to manage diverse range of service providers and Client representatives.
Strong written, oral and presentation communication skills.
Demonstrated ability to manage multiple and complex operational matters on a daily basis.
Proven capacity to understand and interpret commercial contracts.
Capacity to deal with ambiguity and address complex problems.
Ability to deal with demanding people and remain professional in a changing environment.
Effective computer software skills.
