Compliance Assistant
Date Posted: posted 09/15/2006 Job Description: Compliance Assistant Directly responsible for performing the administrative/human resources activities within the Maxim branch office. Maintains compliance of all external employee personnel records with all Maxim and/or JCAHO standards. Provides administrative support and may assist with payroll processing.Essential Duties and ResponsibilitiesGreeting all applicants/visitors to the office.
Assists job candidates through the application process.
Generation of sales leads and potential employee leads during the application process.
Completes reference checks on all applicants being considered for employment.
Processes the criminal history record search through the appropriate Consumer Reporting Agency (or state criminal records repository, if applicable).
Ensuring that applicants are notified of status/scheduled for orientation within three working days of application.
Conducts new employee orientation process (includes all new hire personnel paperwork).
Completing new hire forms and entering employee information into computer system.
Prepares various employment-related letter-writing (applicant thank you for no hires, welcome letter for new hires, FCRA compliance, etc.).
Assists the Account Manager and Recruiters with the developing creative recruitment methods (mailers, cold calling, flyers, job fairs, seminar attendance, etc.).
Coordination of media advertising with Account Manager’s approval.
Responds to incoming reference requests from other potential employers/entities.
Coordinates time sheet collection processes.
Introduces Maxim’s newest field staff to all the Recruiters, Account Manager, Clinical Staff, and Clerical Staff.
Prepares and accurately maintaining employee personnel files to meet Maxim’s current standards.
Tracks employee licensure/certification documentation for validity/expiration for external employees.
Processes external employee terminations and updates the employee status.
Purges inactive external employee files for potential quality employees.
Responsible for various office administrative functions including ordering office supplies, answering telephone inquiries, photocopying, monitoring incoming/outgoing facsimiles.
Mail processing: Distributing incoming mail and coordinates/processes outgoing mail.
Prepares employee mailings (birthday cards, notification letters, etc.).
Participates in staff meetings.
Other duties as assigned by the Regional Compliance Coordinator.Physical/Work Environment RequirementsPosition is in the office and may require the use of various office equipment (copier, computer, telephone, typewriter, calculator, etc.). May require light lifting of up to ten pounds. Requires continuous sitting and standing.Position RequirementsThis position requires strong organizational skills, strong attention to detail, strong interpersonal skills, strong oral and written communication skills, the ability to professionally and confidentially handle personnel information, and the adaptability to change and ability prioritize competing duties and multi-task. Experience with Microsoft office required.
