GENERAL SUMMARY:

Responsible for source selection and procurement functions directly associated with the Phenomenex’s needs for materials and services and select production materials and services.

DUTIES & RESPONSIBILITIES:

·Create, update and enter purchase orders from requisitions received from Production & Material Department. All requisitions have to be processed by the end of the day.
·Process requisitions in a timely manner, to meet vendors cut off time for shipping
·Process requisitions by batching like items i.e. same vendor, on one purchase order rather than multiple orders.
·Contact domestic vendors for items if delivery notification has not been received within 24 hours of order placement. For international vendors, the time frame for notification is 48 hours unless it is an urgent requisition. For all urgent requisitions (to a domestic vendor) phone orders should be placed immediately and for International vendors, orders should be followed the next day (within 24 hours).
·Maintain purchase orders with accurate delivery dates and follow up using the incomplete purchase order program. Make accurate notes as to delays and any vendor's contact to assist and ensure accurate delivery and updates. Report immediately by email and phone any unusual lead-time to supervisor, Material dept. and Production.
·Generate a daily back order report and provide a copy to supervisor. Verify defective merchandise to be returned to vendors
·Obtain RA number from the vendor for over shipments, cancellations, defective products and rework (within 24 hours of receipt)
·Issue debit notes to go along with the returned material and give copies along with products to shipping dept.
·Update the debit order with the AWB number of the return package obtained from the shipping dept.
·Other jobs duties as assigned
REQUIREMENTS
KNOWLEDGE, SKILLS & EXPERIENCE:

·At least 5-7 years of experience in Purchasing Department
·BA / BS Degree - Business Related
·Detailed oriented
·Computer knowledge, including Word, Excel & Powerpoint
·Customer Service oriented
·Ability to multi-task
