Contracts Administrator
JOB RESPONSIBILITIES:1. Represent the Corporation’s quality and capabilities to our customers in a professional manner, and represent our customer’s needs and requirements within the Corporation.
2. Professionally and accurately administer all customer’s orders and REP/ FRQs, in such a manner as to provide the customer with quality product, meeting the contractual requirements while at the same time minimizing risk to the corporation.
3. Promote good customer relations by providing prompt and accurate status on all orders, REP /RFQs, and information requests. Proactively keep customers informed as to the status of their contracts and any other inquiries in house at any given time.
4. Is the focal point for all customer RF Q/ REP/ RFIs, contracts, schedules and other inquiries. Accurately transmit the customer requirements within the corporation.
5. Assure all orders/ contracts are substantiated with proper backup; i.e., hard copy of purchase order / contract, pricing, schedule, method of shipment, special handling, acceptable terms and conditions, etc.
6. Assure all quotation are substantiated with proper backup; i.e., customer request, corporation’s basis for quotation and actual submittal documentation, negotiation notes, and final pricing agreements. Coordinate major proposal activity. Create and submit major contractual proposals.
7. Review, analyze and compile summary of risk Terms and Conditions for management review. Negotiation of prices, terms and conditions as required and directed by department manager.
8. Ensure all paperwork is written clearly and accurately providing every employee with proper information enabling job functions to be performed accurately and efficiently.
9. Generate order acknowledgement, status reports, claims and other miscellaneous written communications in a professional business format as representatives of the corporation.
10. Follow up and track all orders through the organization, advising customer of any problems regarding contract acceptance, technical specifications, or other areas of concern.
11. Direct corrective action on all problems pertaining to customer relations, and negotiate all customer problems with the proper departments.Job Requirements
CORE COMPETENCY:1. Experience in a closed loop fully integrated MRP II manufacturing environment and related exposure to the concepts and applications of Total Quality Improvement in a continuous improvement environment.
2. Working knowledge of FARS, DFARS, and related US Government contracting regulations. Ability to differentiate application flow down and negotiate same.
3. Experience and skills in negotiating pricing and contractual terms and conditions.
4. Excellent verbal and written communication skills. Computer literacy in MS Word, Excel, PowerPoint and Project.
5. Personable, creative, and tenacious with ability to interact with various departments at all levels of the corporation.
6. Pleasant personality with the ability to remain calm and professionally defuse difficult situations with a customer.
EXPERIENCE:Eight (8) years experience in Contract Administration functions; sales support, directions and administration of Government, Commercial, International, Aerospace, Military, and Defense proposals and contract review and administration.
EDUCATION:Four (4) years college degree in business or related field, or it’s equivalent experience. Advanced degree in Business or Related contracts field or equivalent.
