Office Manager
Are you looking for a new and exciting opportunity working as an Office Manager for a prestigious law firm?
ESSENTIAL DUTIES & RESPONSIBILITIES
Supervise all office secretaries, receptionists, relief receptionist/floater secretary, word processors, user support technologist, and operations clerk.
Make recommendations for support staffing, including appropriate staffing levels and assignments to attorneys, legal assistants, and other timekeepers.
Assist with hiring support staff applicants for employment.
Coordinate the annual evaluation and compensation process for support staff with Human Resources Director and conduct interim evaluations of new staff.
Resolve general support staff issues, conduct counseling, and implement disciplinary actions as needed in coordination with the Director and/or Assistant Director of Human Resources.
Monitor support staff attendance, vacations, and other absences from the office; arrange for the hiring of temporary employees and/or overflow coverage when needed.
Oversee support staff workflow and ensure that timekeeper needs are met.
Oversee mail/supply operation and ensure that adequate coverage is provided at all times.
Coordinate resolution of IT issues and scheduling of computer training for staff with appropriate IT staff.
Coordinate special functions and social events for attorneys and support staff.
Assist in the preparation of the office operating expense budget and monitor monthly budget vs. actual progress.
Review and approve vendor invoices.
Oversee daily deposit of client cash receipts, office disbursement account, and petty cash.
Provide coordination with Building Management on day-to-day facilities issues such as building security, cleaning and maintenance, heating and air conditioning, emergency preparedness, and general tenant issues.
Arrange for repairs and maintenance of the office space such as painting, carpet cleaning, furniture repair, etc.
Coordinate office build-out projects and personnel moves.
Oversee the scheduling of conference rooms and visiting attorney offices, including catering requests for client and administrative meetings.
Assign office space to new employees, including attorneys, legal assistants, and staff.
Coordinate copy, fax, and other equipment purchases with the Services Director in the D.C. office.
Coordinate with appropriate D.C. staff and vendors for telephone, computer, on-line services, and litigation support.
Special projects as may be assigned by partners or Directors.

QUALIFICATIONS
Prior law firm experience in a supervisory position required
Excellent oral and written communications skills
Excellent analytical and sound decision making skills
Must be customer service oriented
Strong organizational skills and ability to prioritize
Basic understanding of MS Windows and the MS Office suite of applications required
EDUCATION
College degree preferred.
HOURS
9:00 am ' 6:00 pm with one hour for lunch. Exempt position
