HR Assistant to Recruiter
The Talent Acquisition Associate is responsible for providing high quality service to customers by assisting Talent Acquisition Specialists in performing key tasks as part of the recruiting workflow. The position requires strict compliance with company processes in performing administrative aspects of recruitment and file completion, including internal and external hiring support and on-boarding processes. Providing prompt and effective customer service is essential.
Job Functions
Assists Talent Acquisition Specialists in performing key tasks as part of the recruiting workflow, including posting positions internally and externally, entering requisition and applicant information accurately into existing databases and interfacing with applicants and hiring managers throughout the process.
Performs administrative aspects of recruitment and file completion, following strict compliance with company processes.
Schedules testing, interviews, travel arrangements and creates interview packets. Provides administrative support for employment contingencies, including scheduling pre-employment physical exams, drug tests and background investigations and internal notification of results.
Prepares offer and turndown correspondence to applicants, including processing additional paperwork associated with offer.
Assists with New Employee Orientation.
Processes billings, invoices, chargebacks and purchase orders.
Maintains essential knowledge related to benefit plans, labor agreement, employment law, testing requirements, and safety rules.
Composes and types correspondence, tables, statistical reports, job descriptions and graphical presentation materials.
Assists in researching and processing confidential information and documents, such as personnel records, reports and statistical information, which in turn may be utilized for union grievances, arbitrations or contract negotiations. Conducts special studies and research as assigned, which requires independent judgment.
Assists in making recommendations for the creation and revision of administrative procedures, which may facilitate increased operational efficiency for the department.
Responds to routine employee inquiries on various staffing matters.
Takes action during absence of departmental staff and uses initiative and judgment to ensure that matters requiring attention are handled appropriately or referred to delegated authority.
Technical/Job Skill Qualifications
The candidates must meet the following minimum qualifications, and have demonstrated the following technical or job skills:
- Education and/or experience equivalent to a Bachelor's degree from an accredited college with a degree in human resources, business or related field.
- A minimum of two years experience in a coordination or administrative role, with one year preferably in human resources or staffing.
- Proven ability to type a minimum of 40 wpm
- Strong computer skills with high proficiency in Microsoft Word, Excel, and Powerpoint. Experience with Web Content Management systems and PeopleSoft preferred.
- Proven ability to set and refine work processes that ensure quality and accuracy in a high detail environment
- Demonstrated effective verbal and written communication skills interfacing with internal and external customers.
- Demonstrated ability to manage multiple projects and assignments effectively, work independently and exercise good judgment.
- Prudence in handling confidential information.
- Ability to work in a diverse work environment.
