Assistant to the Director of Human Resources

Reports to: Director of Human Resources

Overview:
This entry level administrative position will assist the Director of Human Resources. The qualified candidate will be organized, proactive, detail-oriented, and have the ability to work with minimal supervision. The ability to multi-task in response to continuous change and challenges within a fast-paced environment is essential. This position will support the Director of Human Resources with administrative tasks in addition to assisting the Human Resources department and front desk reception at the IES headquarters in Chicago.

Job Responsibilities:
-Assist with scheduling/coordinating candidate interviews
-Schedule meetings as requested by the Director of Human Resources
-Prepare new employee files
-Coordinate new hire orientations (conduct safety tour, schedule standard orientation appointments such as Benefits Orientation, Crisis Management Overview, etc.)
-Verify I-9 documentation and maintain current records
-Assist with processing files and forms pertaining to all phases of employee relationship
-File papers and documents into appropriate employee files (new hire, ongoing filing, archiving of former employee files)
-Assist the Director of Human Resources with annual Conflict of Interest reporting and filing for Global employees
-Order business cards for employees
-Run daily out of office report from HRIS and post to intranet page
-Maintain the HR email inbox
-Assist with correspondence, or prepare independent correspondence
-Assist Director of Human Resources with monthly budget reporting and reconciliation
-Code and process invoices (benefit statements, office supply orders, etc.) as assigned
-Maintain various spreadsheets
-Carry out tasks as delegated/requested by HR team members, including filing, and organization of department data/info
-Special projects as directed by the Director of Human Resources
-Assist with planning employee events
-Coordinate milestone tracking (90 day review, 1 year anniversary, 403(b) dates, 5 year anniversary, etc)

REQUIREMENTS
Required Skills/Qualifications:
-Bachelor’s degree, or related experience
-1-3 years experience in professional work environment, preferably assisting a department head or management executive
-Strong attention to detail
-Self starter with the ability to work in team environment, with minimal supervision
-Strong interpersonal communication skills, including ability to create clear and effective written communications (email, memos, letters, etc.)
-Strong organization skills
-Must be adaptable to a fast paced and changing department
-Proficient in Word, Excel, PowerPoint and Outlook
-ADP PayXpert, HRIS and/or database experience a plus
-Schedule flexibility
