Position Overview:
Under minimal supervision, performs diverse and complex administrative projects supporting HR VPs, Directors and Senior Managers. Must have the ability to multitask as well as manage changing priorities.Key Responsibilities:
Executive AdministrationCommunicates with senior management to convey information, collect data, or coordinate administrative details for managementRelieves the HR VP, Directors and Senior Managers of administrative type functions (Travel, scheduling, filing, faxing)
Responsible for confidential and time sensitive materialCreates routine and advanced correspondence including letters, memoranda, and reportsAssists in development of presentationsProject AdministrationCollaborates with other HR Department administrative assistants working on various HR projectsPlans and coordinates project scheduling and administrative tasksSupports the project staff by facilitating project logistics such as meetings, conference rooms and conference callsTakes meeting minutes and action items during meetings and performs basic follow-upMeeting/Event PlanningArranges meetings and schedule appointmentsArranges and coordinates large conferences, training sessions, vendor demos, and special eventsMiscellaneous ProjectsProvides support for other departmental administrative assistants in covering phones, front desk rotation and other administrative responsibilities for the entire department, as neededMaintains various Access databases for teamsConducts job code table maintenanceProcesses vendor invoices
REQUIREMENTS
REQUIRED SKILLS:
Must have 3-5 years of administrative assistant experience supporting senior level management including:
Coordinating and arranging meetingsSetting up travel and lodging reservations for managementCreating presentations, reports and spreadsheetsMust have experience/proficiency in with Microsoft Office (Word, Excel, PowerPoint, and Access)
Excellent typing skills (60 WPM or more)
Must have proactive, customer-focused mindsetExcellent communication (oral and written), interpersonal, and organizational skillsReasonably stable work history and excellent work ethicHigh sense of urgency, requiredMust be highly motivated and have a proven career track recordHigh School Degree/GED requiredDESIRED SKILLS:
PeopleSoft experience a plusBachelors Degree or some college a plus
