FACILITIES MANAGER
The Westfield Group (ASX Code: WDC) is an internally managed, vertically integrated, shopping center group undertaking ownership, development, design, construction, funds/asset management, property management, leasing and marketing activities. Westfield has more than 43 years of experience in the shopping center business and employs in excess of 4,000 staff worldwide.
Full time management position with responsibilities for overseeing the day-to-day operations of the office building including tenant construction, maintaining preventative maintenance program for the physical building, HVAC, manage contractor and vendor relationships, maintain contracts, budgeting, and expense control. Supervises security director, maintenance, janitorial and parking contractor.
QUALIFICATIONS:
â?¢A.A., B.A. or B.S. degree or equivalent experience.
â?¢Prior office management experience.
â?¢Excellent communication skills - verbal and written.
â?¢Thorough knowledge of the operations of an office building including conformance to budget standards and the day-to-day operation of maintenance, security and housekeeping functions.
â?¢Ability to communicate effectively with tenants, vendors, employees and managers regarding building operations or personnel issues to ensure a smooth operation.
â?¢Ability to work a rotating schedule during the hours the building is operating.
â?¢Ability to analyze budget numbers for conformance to budgetary guidelines.
â?¢Ability to read and interpret leases, blue prints and lease plans.
â?¢Must be able to inspect the property on a daily basis.
â?¢Must be able to cope with shifting priorities, difficult situations and deadlines.
â?¢Must be able to respond to the property 7 days a week, 24 hours an day to handle emergencies.
â?¢Must be highly organized.
JOB RESPONSIBILITIES:
â?¢Supervise and oversee the security, janitorial, maintenance and parking managers, including walk-throughs, meetings and work orders.
â?¢Facilitate prospective tenant walk-through of building and liaise with leasing broker.
â?¢Facilitate on-site tenant construction and co-ordination working with corporate tenant co-ordinators, contractors and city building departments to complete tenant work on schedule and according to approved plans.
â?¢Assist with the preparation of the annual budget.
â?¢Control expenses including negotiating contracts, authorizing expenditures, reviewing monthly profit and loss statement.
â?¢Maintain a responsive open-line of communication with the tenants, including handling tenant complaints, operational considerations and regular fire and life safety system.
â?¢Responsible for contract services, including negotiation, renewals, supervision and termination.
â?¢Inspects the interior/exterior of the building on a daily basis and follows up on any deficiencies noted.
â?¢Oversees responsibilities and work-load of Chief Engineer.
â?¢Liaison with tenant contractors.
â?¢Maintains liaison with various city departments on building and safety issues.
â?¢Handles tenant complaints.
â?¢Attends weekly staff meeting.
â?¢Coordinates any special requests with appropriate operational departments.
â?¢Other duties as assigned. Job Requirements
