Back-up PBS/In Store Educator
PBS DUTIES PAYROLL/PERSONNEL Process TM payroll ensuring accuracy and timeliness of payroll checks. Process all payroll-related paperwork; new hire, transfer, payroll/personnel changes,LOAs, direct deposit, TMEF and termination paperwork, ensuring necessary paperwork is sent to Central and maintained in proper files and proper system is updated, i.e. Unicru, Peoplesoft, etc. Ensure receipt of proper I-9 identification and timeliness and receipt of re-certification. Educate Team Leaders on correct completion of payroll related paperwork. Distribute and audit payroll reports, making corrections as necessary, ensuring proper handling, retention and SOX compliance. Set up & maintain personnel and other employment files, ensuring secure confidentiality, proper storage and quarterly auditing for compliance. Respond timely to all garnishments, loan verifications and EDD claims. Educate Team Members in understanding payroll check information. Assist in and troubleshoot Team Member payroll questions. Process WTWC/WOTC paperwork for tax credits. BENEFITS Educate TMs thoroughly in benefits plans, ensuring they are timely supplied with all written benefits materials. Monitor and follow up in person on TM benefit eligibility, utilizing provided reports and resources. Instruct TMs on how to enroll, change and update benefit information through on-line system and telephone. Conduct benefit training meetings (TMAP, open enrollment, 401K, EAP, etc.) Assist in and troubleshoot TM benefit questions and concerns. Strictly follow HIPPA guidelines. Follow proper TMEF procedures. TRAINING Conduct New Member introduction. Ensure New Members are scheduled for store/facility and regional orientation. Ensure New Members receive all QUEST training materials. Assist TLs in tracking TM QUEST training accomplishments. Assist in cross training of own department. Communicate and educate TMs at store/facility meetings as it relates to PBS issues. WORKERS COMPENSATION/SAFETY Provide injured TM with necessary information, pamphlets and forms in new hire paperwork and to file for WC benefits. Report all claims to insurance company within 24 hours, determining which accidents are reportable using the checklist. Ensure the medical facility is contacted prior to TM being seen and throughout claim. Ensure accident investigations reports and other necessary WC forms are completed accurately; maintain WC files. Maintain OSHA 200 log and post it annually. Maintain IIPP book ensuring compliance with training and re-training acknowledgments, forklift certification, meeting agendas/minutes and TMAG safety walks. Assist in maintaining communication with injured workers, doctors/nurses, WC adjusters, FTLs, STLs, TLs and RSS. Size shoes, order/return shoes and audit invoice for safety shoe program. OTHER HR FUNCTIONS Maintain strict confidentiality as it pertains to all HR issues. Maintain, update and communicate job dialogue tracking system for store/facility leadership. Process unemployment paperwork and provide proper documentation to result in favorable claims. Conduct background checks, communicating results to store leadership. Ensure all necessary FCRA/IRCA paperwork is distributed. Audit background check invoice. Understanding and adherence to federal, state and company leave of absences with HIPPA compliance. Ensure all legal and employment posters are visible and current. Ensure regional Job Postings are posted timely and post open Job Positions for Leadership. Attend store/facility, department & regional meetings, classes & task forces as they relate to this position and directed by facility/store and regional leadership. Look for ways to increase efficiency and effectiveness of department. Regular attendance is essential. Able to meet physical job requirements. High level of honesty, integrity and ability to handle confidential information. Computer knowledge including Word, Excel and data entry experience. Excellent communication including verbal, written and listening skills. Excellent people skills and approachability. Desire for a career in Human Resources. Basic math skills, as they relate to payroll, benefit hours and benefit programs. Willingness and ability to be trained. Positive attitude and willingness to assist Team Members. In current position/location for at least 6 months. Works with PBS and TLs to schedule, facilitate and deliver the 2 Day store/facility Orientation, utilizing a variety of educators. Ensure all NMs participate in Orientation within their first week of employment. Encourage, monitor and participates in Quest Team Based Training ensuring consistent and unwavering utilization on each Team. Makes certain all teams have proper QUEST & other related training material. Develops Team Trainers through train-the-trainer sessions. Assists Team Trainers in tracking their bonuses. Works with PBS to track and monitor TM training through PeopleSoft,providing reports to Leadership and Regional Training Team Leader. Tracks and maintains Practice Food Safety.com. Creates monthly training activity calendar and priorities list, submits to FTLs, PBS & RTTL 10 days in advance. Lead and coordinate classes utilizing Regional Training education courses, WFMU and vendor based training . Actively solicits feedback from training recipients and leadership, sharing feedback and suggesting modifications with RTTL and WFMU. Participates in and contributes to regional Training forums, meetings and conference calls, etc. Worked with Regional Trainers to develop training programs for the facilities and possibly for the region. Regularly and creatively communicates training opportunities and resources to Team Members. Ensure QUEST board is consistently up-to-date and properly supplied. Can lift a minimum of 15 up to 40 pounds. Practice safe use of all tools and equipment required by the position. Practice proper care and maintenance of all equipment. Know and practice proper lifting techniques. Report safety violations and hazards immediately. Effectively communicate with all TMs regarding proper department operations. Regular attendance is essential. Perform other duties as assigned by Team Leader/Store Leadership.
