Production Coordinator

Business Unit: NBC UniversalFunction: Advertising & PromotionResponsibilities: Responsibilities for the Production Coordinator to include, but not limited to:Answer phones for VP and track down dept. staff.
Manage schedule for VP and also schedule department meetings and prep any material necessary. If needed, organize and arrange for catering.
Distribute mail, Xerox and/or fax memos/documents.
Arrange for security and parking clearance.
Set up Freelancers in YOH payroll system and manage weekly freelance payroll.
Research, track and manage stock footage acquisition.
Order supplies for the department and handle corporate card billing
Schedule messenger and FedEx services. Sign and distribute packages. Prepare air bills/labels for packages. Deliver and retrieve miscellaneous items from various departments.
Compile reels of promo clips or spots. Facilitate dub requests.
Code invoices and submit for payment in a timely manner. Follow up on all delinquent invoices to resolve payment disputes/errors. File all submitted invoices for our records.
Interview, hire and train all interns.
Arrange all business related travel needs online for the department staff.
Assist the department's writer/producers as well as outside vendors in obtaining material and information necessary for completion of network on-air promotion, including: gathering footage, research of stock footage and other outside material, clip clearance, selecting music and voice-over talent for promos, music clearance, graphic requests, compilation of promo pull reels, compilation of press materials and prepping for shoots.
Liaison with other departments to acquire material needed to complete the project.
Other duties include research, logging footage, videotape operation, clerical, and runner work.
This position could grow to potentially include: help on the Avid editing system pending experience, promo revisions, supervision of announce sessions, input of promo scripts.

REQUIREMENTS
Qualifications: Previous experience in television or production.
Must have working knowledge of Microsoft Office i.e. Microsoft Word, Excel, Outlook.
Minimum of one year experience in entertainment and/or production.Desired: Should have a strong desire to work in promotion and advertising.
Pro-active and creative in seeking out solutions to challenges that arise with each project.
A self-starter with excellent communication skills, organized, a professional demeanor and exceptional writing skills.
Ability to work well under deadline pressure and be able to juggle many projects simultaneously.
Excellent interpersonal skills and attention to detail required.
Creative writing, advertising or script writing course work or experience preferred.
