Development Administrator / Project Coordinator
This job is an integral role in the administration of a development organization. Responsibility for managing the workloads and schedules of various development team members as well as managing and maintaining strict scheduling responsibilities for our various projects. Has a passion for detail and a commitment to excellence and a willingness to do whatever is necessary to bring order, clarity and focus to our myriad development initiatives.
Job Description
Maintaining critical date project schedules for all ongoing projects in the Washington, DC region;
Establish and tract weekly and bi weekly hot list of to items for each development manager based upon the critical date schedules;
Establish and manage library of critical information (zoning ordinances, market research, investment memoranda, reference books, etc);
Establish and manage library of current design drawings for ongoing projects;
Maintain list of key personnel for all ongoing projects as well as contact information;
Manage monthly forecast cost to complete process for all ongoing projects;
Prepare and maintain due diligence binders for all prospective new developments;
Manage daily schedules for all development team professionals;
Maintain project files and team filing system;
Coordinate all incoming and outgoing correspondence for all transactions and date stamp;
Draft relevant correspondence for disbursement;
Code and process project invoices. Maintain invoice log. Perform vendor set up procedure;
General administrative functions to include but not be limited to: travel scheduling, expense report creation, faxing, mail collection and disbursement, office supplies, etc.;
Create power point presentation materials for public display;
Other duties as assigned.
Supervisory Responsibilities
Provides oversight and direction for all associates involved in development projects. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training associates; planning, assigning, and directing work; appraising performance; rewarding and disciplining associates; addressing complaints and resolving problems.
Requirements
Master's degree (M.A,) preferred.
Bachelor's degree (B.A.) from four-year college or university
One to two years related experience and/or training; or equivalent combination of education and experience.
Strong communication skills, both oral and written.
Strong organizational skills.
Must be detailed oriented, self-motivated and willing to take the initiative to get things done.
Ability to work independently.
Experience handling highly confidential information.
Ability to be flexible with multiple priorities and demands.
Ability to self-manage while managing those whom you support.
Establish goals for your own personal and professional growth and work with team members to help achieve them.
