Recruitment Services Manager
Job Description:
Help people make a positive change in their lives by advancing their education. Generate new students for bachelors, masters and doctoral degree, and certificate programs. Build the value of client for its shareholders, employees, knowledge partners, and students. Drive performance in the enrollment function of our business to maximize enrollments and optimize efficiency while operating within our culture and service themes. Responsibilities generally include, recruiting, selection, hiring, staffing, training, performance management, and reward and recognition for a subset of the program teams that make up the department (or all teams depending on department size).
1. Daily Duties:
Administrative - Scheduling
1. Monitor and manage employee attendance according to work schedule
2. Develop and implement policies and procedures needed to make the schedule work, such as shift swapping, late arrivals, early departures, etc.
Administrative - Systems
3. Monitor phone system log in, log out and activity data. Ensure EA’s are logged in if working, and logged out if not. Check this at the end of each business day.
Administrative - Database
4. Serve as subject matter expert regarding issues relating to Goldmine and the database, including procedures, status definitions, etc. for the EC.
5. Audit and monitor the databases for each EA at least once each month to ensure that
a. all statuses are being used correctly and consistently,
b. that call backs are being scheduled and made – not just schedule and pushed out for the purpose of passing the audit,
c. that new leads are being worked in a timely manor,
d. that leads are being worked thoroughly before moving to marketing status,
e. that leads in the 2 Attempting Contact, and 2 Contact No Appointment get worked appropriately and not ignored,
f. that leads in certain statuses (as defined in our procedures) have enrollment periods on them for proper reporting and forecasting,
g. that each EA has and uses a methodology for sectioning and working leads in the 2 Attempting Contact status,
h. that no EA’s are searching filters to find work (“Filter Fishing”), but rather are using the Fairfax Database Workflow Management System to plan and execute their daily activities,
i. that leads are not being reassigned to bogus or wrong EA’s for the purpose of benefiting a particular EA or group of EA’s in the reporting or compensation plan, and
j. that leads in the 9 Future Interest status are being worked properly and not ignored.
6. Run and review reports and develop others to monitor, manage, and enhance the EC performance, as well as, assist in the tasks under #4 above, including the;
a. 1 New Analyzer
b. 7 Marketing Analyzer
c. Daily activity report
d. Call History Report
e. EA Activity
f. EA Auditing
g. EA Change Report
h. Email History Report
i. Workable Leads Report.
Training
7. Teach employees on a continuous basis about our business so they can see the big picture and learn to contribute at the highest level.
Performance Management
8. Use phone system to monitor and/or record EA phone calls on a regular basis for the following purposes:
a. to provide performance feedback and coaching,
b. to verify accuracy of information being given,
c. to ensure that our service standards (Integrity, Courtesy, Quality, and Efficiency) are being upheld.
9. Monitor use of E-mail by EA’s to:
a. help them use the system more effectively to generate additional contacts and students,
b. ensure that our service standards (Integrity, Courtesy, Quality, and Efficiency) are being upheld.
c. verify accuracy of information being given.
10. Provide performance feedback to EC employees on a real-time basis as observations are made.
11. Monitor the day-to-day operations and overall productivity of the Enrollment Department and take actions necessary to optimize performance.
12. Lead the Enrollment Department in maintaining and implementing a local standard operating procedure.
13. Accumulate Raving Fan’s and Service Fanatics for use in the reward and recognition program. Give instant praise as these come in.
Reporting
14. Become the subject matter expert on the phone system reporting and utilize this resource to its full potential to monitor and drive performance.
15. Participate in team daily meeting rhythm to understand issues and show attention is being paid to performance results.

Qualifications:
BA/BS degree from accredited institution required.
"Inside"sales experience (outbound calling) preferred.
Previous sales management and leadership experience preferred. Ideal candidate will have 3-5 years experience managing and leading an inside sales team performing in a high-relationship consultative sales process.
Experience with distance education and in college admission and recruitment preferred.
Strong organization, analytical, and motivating skills.
Demonstrated ability to understand strategy and implement operational initiatives to meet it.
Passion for driving performance against goals while creating a positive, fun and productive environment.
Proficient in MS Office, most importantly MS Word, Excel, and PowerPoint.
Collaborative communication style, builds relationships with other departments, not barriers.
Outstanding written and oral communication skills.
Must be willing and able to work 2 nights per week to be present for EC work schedule.
