FACILITIES COORDINATOR for credit

Assist the members, staff and vendors by providing efficient, accurate service within the guidelines of the credit union policies and procedures. Assure that assigned duties are completed within the established time frames upholding member service and avoiding additional expenses.
ESSENTIAL FUNCTIONS:
1.Coordinate and tag new Furniture/Fixture fixed asset purchases, perform complete annual physical inventory of fixed assets and maintain Fixed Asset Accounting System.
2.Maintain a complete inventory of supplies, including quantity, size, name, location and, minimum and maximum reorder points for each item to ensure prompt delivery of supplies to departments/branches.
3.Maintain updated cost information regarding supplies and office equipment to ensure the best prices and quality for orders placed; researching and negotiating costs as appropriate.
4.Place orders with vendors and suppliers; follow up to ensure delivery as scheduled and to ensure payment is made as agreed.
5.Issue purchase orders to vendors and suppliers ensuring accuracy of order; receive orders and compare packing slip to purchase order.
6.Organize and maintain supplies/equipment in an orderly fashion in the warehouse and/or storage areas, ensuring ease of access. Schedule the periodic destruction of records per retention policy.7.Ensure maintenance contracts for equipment and building services are kept up to date; follow up to ensure maintenance occurs as scheduled.
8.Ensure routing of mail to credit union departments/branches as well as prepare outgoing mail. Oversee the retrieval of supplies and records.
9.Direct the activities of regular subcontracted services (e.g. building maintenance, landscaping, custodians, etc.) as well as periodic providers (e.g. subcontractors for renovation projects, pest exterminators, HVAC, etc.)
10.Maintain building keys and employee list for keys..
11.Maintain the credit union vehicle exterior and interior appearance. Maintain the manufacturer’s recommended maintenance schedule.
12.Perform scanning duties for Accounting Department as needed. Maintain, process, label and file returned microfilm reels.OTHER DUTIES/ RESPONSIBILITIES:
1.Assist in the movement of furniture, equipment and fixtures as requested. Responsible for the set up of Training Room.
2.Perform pick up and delivery duties as needed. (e.g. TUSD, Costco, etc.)
3.Maintain emergency supplies, in case of disaster. Responsible for periodic testing of all alarm equipment/911 phone test.
4.File Accounting Department records.
5.Act as primary contact for alarm notifications.
6.Photograph Real Estate per Loan Department request.
7.Assist members, staff, and vendors with inquiries.
8.Perform other duties as needed and assigned.KNOWLEDGE:
1.A working knowledge of credit union operations, policies and procedures.
2.A working knowledge of NCUA and Federal Banking regulations.
3.A working knowledge of purchasing rules, regulations, and procedures.SKILLS AND ABILITIES:
1.Ability to operate credit union vehicle.
2.Ability to operate computer keyboard to input data.
3.Ability to communicate with members, other employees and vendors verbally, in writing and on the phone.
4.Ability to read computer screens and printouts.
5.Ability to perform intermediate mathematical calculations involving decimals, percentages, fractions, etc.
6.Minimum level of skill in Excel and Word.EDUCATION AND EXPERIENCE:
1.High School diploma or its equivalent preferred.
2.One year of experience purchasing supplies and equipment.
3.At least one years experience coordinating facility requirements.
